Importing call transcripts from Attio

If your team records calls in Attio, Pilea can import those transcripts as interviews. What customers say on sales calls, onboarding sessions and check-ins goes into your backlog next to your written feedback, already linked to the right accounts.

Call transcripts are part of the Attio CRM integration. There’s nothing extra to connect. If you haven’t connected Attio yet, start with Connecting Attio to Pilea.

ℹ️ Note: Used the old Attio Meeting Transcripts integration? It has been merged into Attio CRM. Existing connections were moved across automatically with Call transcripts switched on.

Turning on call transcripts

  1. Go to Integrations in the sidebar and click Settings on the Attio CRM card.
  2. Under Calls, tick Call transcripts.
  3. Choose which calls to import (see Choosing which calls to import below).
  4. Decide whether to tick Analyze automatically.
  5. Save, then click Sync now to pull calls in straight away, or wait for the next automatic sync.

Call transcripts are a per-workspace setting. One workspace can import calls while another only syncs CRM records and notes.

Analyze automatically

Normally each imported call waits for you to review speakers before it’s analysed. With Analyze automatically ticked, Pilea skips speaker review and analyses what the customer said as soon as each call is imported. A call recorded in the morning can be on your backlog by the afternoon.

This setting applies to new calls in every workspace.

How calls are matched to customers

Pilea links every imported call to the companies that were on it. It uses three signals, most precise first:

  1. Companies linked to the meeting in Attio.
  2. People linked to the meeting, matched to the company on their Attio record.
  3. Participant email domains, matched to the domains of your customers in Pilea.

Your own company’s domain is never matched, and neither are personal email providers like Gmail. Invitees who declined the meeting are skipped.

If several customer companies were on the call, the call is linked to all of them, and each piece of feedback from the call counts for every one. The interview page shows the first matched company as its customer.

If Pilea can’t work out who was on a call, the transcript is still imported, just without a customer. You can set the customer by hand on the interview.

Choosing which calls to import

Not every recorded call is worth analysing. Internal stand-ups and interview loops are probably noise. Once Call transcripts is ticked, the Calls section lets you choose:

Which meetings

  • All meetings: import every call.
  • Title contains: only import calls whose title contains one of your words, for example demo, onboarding or QBR.
  • Match a description: describe the calls you want in plain language and Pilea uses AI to pick out the ones that fit.

Skip when the title contains Add words like standup, 1:1 or interview, and any call with one of them in its title is skipped. This applies on top of the rule above.

Title matching ignores upper and lower case. Each workspace has its own rule. Changes apply to future imports only; calls already imported stay where they are.

Good to know

  • Calls sync on the same schedule as the rest of Attio: automatically every 6 hours, or straight away with Sync now.
  • Each sync only pulls calls on or after the workspace’s Sync from date, and only what’s new since the last run.
  • Each call lands as an interview with a descriptive, editable title. See Working with mentions for what happens next.
  • PII redaction (Settings → PII Redaction) applies to transcripts too. Turn it on before your first big sync if your calls contain sensitive details.

Troubleshooting

Call transcripts is ticked but nothing imports Check that Auto sync is on for this workspace and that you have recorded calls in Attio after your Sync from date. Then check your meeting filter: a Title contains rule with no matching words, or a broad skip list, can filter everything out.

Connected Attio before call transcripts were available? Your connection may not include permission to read meetings and call recordings. Reconnect Attio from the Integrations page so Pilea can request the extra permissions. If you connected with an API key, make sure it has read access to meetings and call recordings.

Calls are imported without a customer Pilea matches calls using companies and people linked to the meeting in Attio, and participant email domains. Make sure your customers in Pilea have a domain set, and link meetings to company records in Attio where you can. Calls imported before matching was available aren’t re-matched automatically, so set their customer by hand.
