Connecting HubSpot to Pilea
Connecting HubSpot to Pilea
When you connect HubSpot to Pilea using OAuth, support tickets, sales emails, notes, meetings and company records sync automatically. Pilea structures the feedback into backlog items and uses deal data to power the revenue signal in your priority scores. It’s a one-way import - Pilea never writes anything back to HubSpot.
What you’ll need
- Admin access in Pilea
- A HubSpot account with permission to install apps
How to connect HubSpot via OAuth
Step 1: Start the connection in Pilea
- In Pilea, go to Integrations in the sidebar under Data Sources.
- Find HubSpot in the catalogue and click Connect. The dialog explains what each permission is used for.
Step 2: Authorize Pilea in HubSpot
- You’ll be redirected to HubSpot’s authorization page.
- Review the requested permissions: contacts and companies, deals, tickets, and sales email.
- Click Connect to authorize Pilea to access your HubSpot data.
Note: HubSpot shows a broad list of permissions during approval. Pilea uses contacts and companies to link feedback to customer records, deals to attach deal context, tickets to import support tickets as feedback, and sales email to import logged customer email threads. Notes and meetings are covered by the CRM permissions.
Step 3: Complete the setup
- You’ll be redirected back to Pilea automatically and see an Integration connected toast.
- A setup dialog opens for the current workspace. Set Sync from (how far back to sync), tick the Data Types you want, and optionally add a tag filter. You can change all of this later.
What syncs from HubSpot
The Data Types checkboxes in the integration settings control what syncs into each workspace:
Companies - HubSpot companies sync as customers, so feedback is linked to actual customer data. Contacts are used to attribute emails, notes and meetings to the right person and company.
Tickets - Every support ticket is scanned for product feedback. Bug reports, feature requests, and pain points flow into Pilea.
Email - Logged sales emails tied to company records are pulled in. Your sales team’s objections, feature mentions, and “we’d love this if only…” comments are captured.
Meetings and Notes - Meeting records and notes linked to companies are imported, so relationship context and customer input land in one place.
Deals - Deal amounts are summed per company (lost and other closed-out stages are skipped) and stored as the customer’s deal size, which feeds revenue impact scoring. Pilea uses this to weight feedback from high-value accounts.
Tags - HubSpot ticket categories can be imported as Pilea tags. Open the integration’s Advanced tab and click Pull Tags Now. The tag filter in Settings only applies to tickets.
ℹ️ Note: HubSpot syncs automatically every 6 hours. New tickets, emails, notes and meetings are picked up on the next run. You can also click Sync now on the HubSpot card on the Integrations page at any time.
Managing the integration
Enable or disable sync per workspace
Integrations are connected at the organization level, but each workspace controls whether it syncs data from HubSpot. Use the Auto sync switch on the HubSpot card to turn it on or off for the current workspace. The workspace that connected HubSpot starts with it on; other workspaces start with it off.
Trigger a manual sync
Click Sync now on the HubSpot card. Long syncs run in the background with progress shown on the card, and you can click Stop sync if needed.
Configure the integration
Click Settings on the HubSpot card to open the configuration dialog. The Settings tab holds the Sync from date, Data Types and Filter by Tags for the current workspace. The Advanced tab has Full Re-sync from Start (re-imports everything from your “Sync from” date without duplicating records Pilea has already processed), Pull Tags Now, and Disconnect Integration.
Troubleshooting
Authorization failed error Make sure you have permission to install apps in HubSpot. Try disconnecting and reconnecting from the Integrations page.
No data appearing after connecting Pilea needs a few minutes to complete the initial sync. If nothing appears after 15 minutes, check that the right Data Types are ticked for this workspace and that Auto sync is on, then click Sync now. If the problem persists, verify that your HubSpot account has tickets, emails, notes or meetings after your “Sync from” date.
Tags not appearing Tags are pulled from HubSpot ticket categories. Open the Advanced tab and click Pull Tags Now to refresh them.
Priority scores showing 0 for revenue impact Make sure your HubSpot deals have amounts populated and are associated with companies. Pilea uses deal values for the revenue impact signal. Deals without amounts, deals in lost stages, or companies without linked deals won’t affect scoring.
If none of these solve the issue, contact us via the chat bubble in the bottom right. Include your workspace name and a description of what you’re seeing.
